The PMO Coordinator is responsible for supporting the Information Technology (IT) projects and activities in adherence to the IT PMO methodologies.  Administrative responsibilities include but not limited to perform various functions to aid in the delivery of IT projects, e.g. planning, resources, meetings, etc., documentation from proposal to the project closeout, support, and services.  The PMO Coordinator works directly with the Director of IT Office to ensure PMO project management projects are managed from initiation through successful execution according to the PMO methodology and aligning to the business goals and strategic objectives.

In this capacity, the PMO Coordinator will:

  • Responsible for supporting Information Technology Portfolio Management Office projects and activities;
  • Assist in the capacity of project co-coordinator on various projects;
  • Develop positive relationships with the Project Managers, project sponsors, stakeholders, and IT technical leads to understand and prioritize work, assist with resource planning and reporting;
  • Assist to coordinate meetings, prepare meeting minutes, provide very light project management, budget, and expenses;
  • Track and report on the percentage of work activities on projects, change request, defects, and support to ensure teams are working on the right priorities;
  • Assist with project transparency to ensure the alignment of resources to effort, priorities and utilization;
  • Assist to evaluate new requests as it relates to technical feasibility, alignment with organizational architectural and technical standards, technical work efforts and availability of resources;
  • Coordinate and create documentation to a high standard, ensuring timely completion and appropriate maintenance, e.g. scope of work, reports, sign-off documents, etc.;
  • Provide weekly and monthly status reports that include metrics/trends on current planned and completed work;
  • Contribute to the flow of communication within the team, be actively participating in the meetings;
  • Act as the main internal point of contact / initial escalation point to assigned tickets / projects;
  • Coordinate with third-party vendors engagement process and their deliverables;
  • Service focus and promote cross-functional collaboration and synergy;
  • Possess excellent communication skills; and
  • Be positive, confident, highly motivated, and maintain good team ethics.


  • At least 5 years of IT administrative experience;
  • At least 5 years of IT project coordinating experience;
  • At least 5 years of project management tools experience;
  • Bachelor’s degree;
  • At least 5 years of experience in a professional services or legal environment (preferred);
  • Ability to prepare and interpret charts, flowcharts, schedules and project action plans;
  • Proficient understanding of project management methodologies, Agile, Iterative Waterfall preferred;
  • Experience in various project frameworks;
  • Experience in Microsoft Office products (Excel, Project, PowerPoint, Word, Visio);
  • Knowledge of JIRA, or similar tools is a plus;
  • Experience supporting IT management and PMO team on administrative functions;
  • Experience interacting with stakeholders courteously and efficiently to provide information and resolve problems;
  • Experience in IT services environment;
  • Advanced knowledge of customer service practices and philosophy; and

Strong communication and customer service skills.
