Summary
Responsible for supervising the payroll staff on a day-to-day basis to ensure timely and accurate payroll. This position is accountable for payroll review, as well as recording and reconciling payroll-related financial information and tax filings. The Payroll Manager will be an important partner for HR and Financial Systems groups to ensure process improvements are implemented and support business needs. This role requires a proactive leader to ensure the payroll team keeps pace with internal and external business and compliance requirements, both domestically and internationally.
Qualifications
- Education & Experience:
- Bachelor’s Degree required, preferably in business, accounting, or a related field.
- Five years of payroll management experience.
- Experience with a range of payroll systems, with a preference for Workday.
- Certified Payroll Professional designation is strongly preferred.
- Experience developing, leading, and managing high-performing teams.
- Skills:
- Excellent communication skills, both verbal and written.
- Working knowledge of accounting concepts, including experience preparing and reviewing payroll-related journal entries and account reconciliations.
- Thorough knowledge of Federal and State wage and withholding laws.
- Exposure to international payroll design, setup, and processing.
- Demonstrated process improvement experience.
- Strong customer service skills and the ability to collaborate with internal and external business partners.
Duties and Responsibilities
- Effectively manage all aspects of multi-state and international payrolls for 2000+ employees, ensuring accuracy, compliance, and consistently meeting outstanding service goals.
- Research discrepancies of payroll information and/or documentation to ensure payroll accuracy.
- Develop, mentor, and supervise day-to-day work of payroll staff, including task direction, coordinating priorities and resources, and providing guidance on performance and development opportunities.
- Review current procedures and collaborate with key business partners to recommend and implement process improvements and establish best practices.
- Identify and resolve employee payroll issues.
- Develop and maintain documentation of key payroll-related processes.
- Review payroll journal entries, perform GL mapping, conduct payroll-related account analysis, and reconcile payroll and benefit-related general ledger accounts monthly.
- Prepare and oversee the preparation of various payroll-related documents, such as payroll registers, W-2 forms, PTO records, payroll tax filings, and deduction code setups for compliance, internal control, and audit purposes.
- Review and reconcile all tax filings related to payroll, including quarterly and annual filings.
- Ensure compliance with all internal policies and controls, as well as external laws and regulatory guidance.
- Prepare relevant reports and analyses for management.
- Monitor tax notices, wage orders, and government correspondence. Record tax payments and perform reconciliations monthly.
- Maintain and expand knowledge of existing and new payroll-related legislation.
- Participate in Workday and Safeguard system releases, as well as continued implementation and upgrades.
- Uphold high standards of confidentiality, discretion, and integrity, particularly regarding all sensitive and/or confidential firm and client information to which this position will have access.
